International NGO Security Organization (INSO) – Founded in 2011, the International NGO Security Organization (INSO) is a UK-based charity that supports the safety of aid workers by creating security coordination platforms in contexts of uncertainty. INSO offers registered NGOs a range of free services, including real-time incident tracking, analytical reporting, security-related data and maps, crisis management support, and guidance and training.
We are recruiting to fill the following position:
Job Title: Field Support Assistant (North West)
Location: Katsina and Sokoto
Post Type: Full-time
Overall Purpose of the Position
The main responsibilities of this position will be to support the Field Support Officer in the functions of HR, Administration, Logistics and Finance. The Field Support Assistant (FSA) reports to the NW Security Council
Key Duties and Responsibilities
Supports the cash transaction process. Assists with daily cash reconciliation
Assists in maintaining a proper system of record for operational advances, effectively tracking open amounts and collecting supporting documentation to close all outstanding advances before month end. Assist in making payments in a timely manner, ensuring completeness of supporting documentation.
Photocopy proof of payment and file with invoices in chronological order.
Support relationships with local banks and send and collect documents from local banks. Assist in creating monthly estimates of field office cash flow needs.
Ensure all staff are aware of local field office regulations. Logistics, Procurement and Operations:
Assist with low-threshold procurement activities related to headquarters operations.
Support coordination of all logistical arrangements for events, seminars, workshops and other training activities related to the project. Ensure that procurement processes are in accordance with Standard Operating Procedures (SOPs), with appropriate documentation to support all purchases. Prepare purchase requisitions and payments and update the purchase tracking system. Assist in identifying suitable suppliers, collecting quotes, distributing requests for quotes and issuing purchase orders. Assist in the management and administration of office resources including office space, assets including laptops, other systems and related office equipment. Assist in maintaining and updating the Field Office Asset Register in accordance with INSO requirements. Assist in ensuring that all assets are tagged and maintain a record of their movements. Support bi-annual physical verification of assets. Monitor and report any faulty equipment to the line manager and oversee repairs and maintenance of INSO facilities, equipment and vehicles. Support tracking of vehicle mileage and fuel consumption. Support inventory management activities. Ensure that the complex is well maintained. Knowledge, Skills and Experience
Essential:
Diploma in Bus Administration or similar training
At least 2 years of experience
Excellent English and native language skills, both written and spoken
MS Excel skills. High level of attention to detail. Ability to work independently and organize own schedule to complete assigned tasks. Good English language skills, both written and spoken.
