About the position
As an Executive Assistant, you will be a vital member of the team, providing high-level support to the Arbor CEO. Your role will include managing schedules, coordinating meetings, creating meeting summaries, managing correspondence, and performing various administrative tasks. The primary objectives of this position will be to support the CEO in managing daily operations and activities, ensuring that the CEO’s time is optimized. This is a part-time position with a flexible schedule averaging 20-30 hours per week.
Responsibilities
Calendar Management: Organizes and manages complex calendars for CEOs, including scheduling meetings, appointments, and conferences. Prioritizes conflicting requests and ensures timely attendance at important events. Communication: Serves as the primary point of contact for internal and external communications on behalf of the CEO. Screens and responds to emails, phone calls, and inquiries, handling them in a professional and discreet manner. Correspondence: Write, proofread and edit correspondence, meeting minutes, reports, presentations and other documents as required. Ensure accuracy, clarity and adherence to company standards in all communications. Administrative Support: Provide full administrative support to executives. Project Support: Assist the CEO in managing various projects by coordinating project timelines, tracking progress, and facilitating communication between team members. Prepare reports, presentations and documentation as required. Relationship Management: Establishes and maintains positive working relationships with internal and external stakeholders, including customers, partners, suppliers, and colleagues. Requirements
High school diploma preferred, or equivalent combination of education and experience. Proven experience in an executive assistant or similar role, preferably as an executive assistant. Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment. Excellent communication skills, both written and verbal, with a professional and courteous demeanor. Proficiency in office software, including GSuite (Google Calendar, Google Sheets, etc.). Experience working with a project management tool (Jira, Monday.com, etc.) is a plus!
Experience working with Hubspot is a plus!
